UW Preferred Hotel Program Requirements
Universities of Wisconsin – Preferred Hotel Program Requirements (2025–2027)
To be considered a preferred hotel vendor with the Universities of Wisconsin, your property must offer one of the following eligible lodging rates (not both):

Option 1: State of Wisconsin Government Rate
As a State agency, the Universities of Wisconsin is eligible for the official State of Wisconsin government lodging rate. University travelers will present official University identification at check-in to confirm eligibility. -
Option 2: U.S. General Services Administration (GSA) Rate
If your property does not participate in the State of Wisconsin rate program, you may instead offer a rate at or below the applicable GSA lodging maximum (including seasonal adjustments) for your location.
Participating properties must select one of these rate structures for the duration of the agreement.
Additional program expectations include:

Rate Availability: Your chosen rate must be available at least 80% of the time year-round. Up to 25 blackout dates per calendar year are permitted.

Fee Transparency: Any additional resort, amenity, or municipal fees must be clearly disclosed in your proposal and, if selected, billed as separate line items—not bundled into the nightly rate.

Value-Added Amenities: Complimentary services such as Wi-Fi, breakfast, parking, shuttle transportation, and access to fitness facilities are encouraged and will strengthen your proposal.
Properties meeting these criteria will be eligible for inclusion in the Universities of Wisconsin Preferred Hotel Program and will be visible to University travelers through our centralized booking platform (Concur).
Sales Tax Exemption
The Wisconsin sales and use tax law in s.77.54(9a), 1985 WI Stats., provides an exemption from payment of state, county, and local tax. The Department of Revenue has issued tax exemption number ES:008-1020421203-13 for the use of all UW System Administration and Institutions. We ask our partners to honor tax exemption and ensure they are able to handle processing our tax exemption.
