Pre-Workday (Legacy) Data & Documents

As of July 1, 2025, Workday is the system of record for all HR and financial data for the Universities of Wisconsin. This webpage serves as a resource for information on legacy, or Pre-Workday, records as we transition away from our old systems like HRS and SFS. 

  • In Workday: All administrative data from July 1, 2025, forward, plus three years of financial data at the summary level (FY23–FY25).  In addition, summarized financial data for sponsored programs (inception to July 1, 2025) is available in Workday. 
  • Legacy Data and Documents: Pre-Workday data and documents are moving to secure, long-term environments for continued accessibility. 

Legacy systems, including the Human Resources System (HRS) and its data warehouse EPM, the Shared Financial System (SFS), Shared Financial Management Reporting Tables (SFMRT), WISER, and WISPER are in the process of being decommissioned. HRS, SFS, and WISPER will shut down June 30, 2026. WISER and SFMRT will shut down September 30, 2026.   

Finding & Accessing Pre-Workday Data & Documents 

While Workday is the primary system for current HR and finance data, legacy (pre-Workday) data and documents are being migrated: 

  • Pre-Workday Reporting Data: Enterprise Analytics Platform (EAP) is a data lake used across the Universities of Wisconsin. EAP will store legacy data and make it possible to combine legacy data with Workday data for longitudinal reporting needs.  Data housed in EAP can be accessed through a variety of data tools. Review the table later in this section to determine which tool might be best for you.  
  • Pre-Workday Documents: As of April 7, 2026, most legacy HR and financial documents can be accessed in DocFinity, the Universities’ new enterprise-level document management system. This provides a secure, cloud-based home for personnel files, financial records, and other critical historical documentation.  

Teams are currently working to develop crosswalks from our legacy systems to EAP and related data tools to help you find the legacy data you need to do your job. Crosswalk information will be added to this site as it becomes available.

Why are legacy systems being decommissioned? 

All current data as of July 1, 2025 is now housed in Workday. Legacy data is moving to EAP to: 

  • Reduce cost of maintaining multiple legacy systems 
  • Ensure ongoing data security 
  • Standardize data and definitions across units, divisions, departments, schools, and institutions.

Who is involved in decommissioning the legacy systems? 

A project team comprising UW-Madison finance and research administration staff, WEST team members, UW System Administration, and UW Shared Services was assembled to support the decommissioning of legacy systems and ensure reliable access to the information needed for ongoing operations and reporting.
