New Workday process for non-catalog purchases

Starting December 12, Workday will introduce a new process for creating non-catalog purchase requisitions to improve efficiency by allowing more flexibility in who completes the required questionnaire.

What’s Changing?

In this updated process, both the Requester and the Requisition Validator will receive a requisition questionnaire task at the same time. The task will appear in My Tasks in Workday.

  • Before: Only the Requisition Validator received the questionnaire task.
  • Now: The Requester also receives the task to complete the questionnaire. If the Requester has the information needed to complete the questionnaire, doing so can expedite the requisition approval process.

Consult your department’s financial office or your campus’s purchasing office for guidance on who should complete the questionnaire when making non-catalog purchases:

  1. Requisition Validator completes: The Validator remains responsible, and the Requester ignores the task in Workday.
  1. Requester completes: The Requester is responsible for completing the questionnaire, and the Validator does not fill it out.

Note: If the user logs into Workday and there is no questionnaire awaiting responses, the other user has completed the task.
