Congratulations to all who launched in late August or early September! Five additional institutions went live with the Navigate platform for staff: UW-Green Bay, UW-La Crosse, UW-Stevens Point, UW-Stout and UW-Superior; and five launched the Navigate student app: UW-Eau Claire, UW-Green Bay, UW-Stevens Point, UW-Stout and UW-Superior.

Institutions preparing for staff platform launches include UW-Parkside and UW-River Falls for November and UW-Whitewater for January. Institutions preparing for student app launches include UW Oshkosh, UW-La Crosse, UW-River Falls, UW-Whitewater and UW-Parkside.

CONNECTED19 

  • The Project Team is pleased to hear about UW institutions planning to participate in the Nov. 4-6 EAB CONNECTED19 summit at the Marriott Marquis Washington, D.C.
  • To date, we have a team of 20 registrants from UW System institutions, plus two from the UW System Project Team. With the UW System support for institutions, we’re expecting to have every institution represented.
  • As the agenda indicates, cohort-based special sessions will be scheduled the morning of Tuesday, Nov. 5.  The Project Team is working with EAB to develop the UW System session and welcomes suggestions emailed to sbuth@uwsa.edu.

UW System Project Team activities

  • Continued to closely monitor institutions’ leadership team check-in meetings with EAB, participate in Training and Strategy on-sites, pursue answers/actions in response to institutions’ questions and requests, schedule engagement team lead meetings and join EAB’s app administrator office hours.
  • Provided Navigate implementation updates to key groups including the UW-Platteville Student Success Summit in August, where Angie Kellogg was a guest speaker. She also included a Navigate implementation update at the Wisconsin Academic Advising Association (WACADA) conference in September at Gateway Technical College. Ben Passmore provided an update to about 50 representatives from around the System at the Sept. 20 UW System Shared Governance Meeting in Madison.

Institutional highlights 

UW-Stevens Point continues to build on the early successes of their Phase 1 Navigate launch to all new students, professional and career advisors and Diversity and College Access (DCA) staff. After just two days, 421 students downloaded and were engaged in the Navigate app. Both pilot care units—Academic and Career Advising and DCA—have successfully set up availability and services for their core staff, as well as front desk professionals and student employees. And students began scheduling advising appointments through Navigate beginning the third week of classes (week of Sept. 16).

UW-Superior is very pleased with their launch results, with 320 students downloading the app in the first week after their Aug. 26 launch. This is over a 90% adoption rate by first year students at UW-Superior and far exceeded their target goal of 65% adoption by Sept. 6.

UW-Stout is excited that 1,321 students downloaded the mobile app in the just the first week after their Aug. 26 launch. This is a huge accomplishment considering there are 1,459 first-year students at UW-Stout (as of the training on-site). This exceeds the target goal of 85% (1,240) of first-year students downloading the app by Sept. 6.  Select pilot Faculty Advisors and their advisees will be the next area of focus for Navigate adoption.

Amy McGovern, a retention specialist and Navigate implementation program owner at UW-Stout, shared how their collaborative approach paid off with a successful launch: “This impressive download result comes from collaborative colleagues in Orientation, Advisement Center, Student Center and University Housing. (The UW-Stout team has members from all of these areas serving on the leadership or subcommittees for Navigate Implementation.) These units have been partners for several years and have worked through what thoughtful planning and collaboration looks like—the lows and the highs. In doing so, these teams have identified ways to be supportive of one another while also playing helpful, unique roles. As such, new students heard about, were asked to download and use the app in a series of repeated, yet tailored messages from key pick-up to floor meetings to orientation sessions to advisor meetings to book pick-up to org fair events. Over 200+ returning student leaders were allowed into the app prior to new student arrival and encouraged to share tips and model use with their peer mentees throughout the three-day fall orientation as well.”

UW-Green Bay launched the EAB Navigate platform for faculty and staff in late August. For fall 2019, the target audience of faculty/staff users includes professional advisors and key faculty champions. They also launched the mobile app for first-year freshman students, with more than 450 students downloading the app in the first three weeks of classes, approximately 50% of the freshman class.  As they continue to learn more about the system, they look forward to evaluating and setting additional goals.

The first two weeks of the semester saw UW-Platteville’s downloads of the app reach nearly 1,000 students, including almost 700 new first-year students and more than 50 new transfer students. UW-Platteville currently is working to share insights from the Intake Survey with campus resources and transitioning the scheduling of tutoring and writing services into the app.

UW-Milwaukee has launched Navigate at their two branch campus locations. They also have rolled out usage of Navigate for tutoring and peer mentoring on their main campus. Additionally, they are updating their materials and strategy around launching Progress Reports for the fall semester.

UW-Eau Claire launched the Navigate Student App with incoming students during the September Opening Day and a large proportion of the incoming class has downloaded the app. Proactive outreach was done on short-term questions and concerns received via the app Intake Survey. Enrollment Management is developing a long-term communication plan for data pulled from app usage. The advising team and key retention partners met with their EAB Strategic Leader, Kathryn Pham, Sept. 16-17, to further explore ways to leverage the predictive analytics in EAB.

UW-La Crosse staff are enjoying seeing student information on a single page and being able to take notes on students. Students are happy to be able to schedule appointments online with offices that are piloting Navigate.

The UW-River Falls EAB Leadership team, led by Wes Chapin, took advantage of their fall opening meeting on Aug. 26 to remind faculty and staff of the upcoming Navigate roll-out. Provost David Travis communicated the purpose and value of Navigate to students as well as faculty, staff and advisors. The upcoming timeline for launch was shared with the group in a handout as well as on the updated UW-River Falls Navigate website. On Sept. 18 UW-River Falls staff and students participated in an on-site training with EAB training team.

The EAB Technical team continues to work on tasks in preparation for the pilot and launch of EAB Navigate at UW-River Falls. In that past month they have done data validation testing with the office of the Registrar and several academic advisors. They also have worked on making single sign on active so that campus faculty, staff and students who have access to EAB Navigate can log-in with their campus credentials.  Next steps will be to complete the single sign on integration, activating the calendar sync (once they make their production site active), and loading student ID photos into the production site (once active).

The UW Oshkosh team completed all of their app’s Resources, and planned to finish To-Do’s, Key Events and Holds next. They also have assembled a small test group of students who will give initial feedback on the structure and content of their app.

UW-Whitewater continues to prepare for the staff platform and student app launches. Activities are on track and technical staff are working closely with the EAB technology integration team on initial data validation, security access and peripheral set-up.

UW-Parkside also is preparing for the staff platform and student app launches and held their training and strategy on-site meeting with EAB Sept. 25.

Thanks to the Promotion Team Leads who’ve shared examples of their communications (see Project Team Resources for flyer, bookmark and email campaign examples) and provided links to their Navigate websites.

UW-Stevens Point incorporated an EAB animated student video, and UW-River Falls compiled demo and other videos for faculty and staff in a collaborative space. UW-River Falls also included a glossary, and UW-Platteville provided an FAQ for students and Navigate Resources for faculty and staff.

Next Steps

October 2019: UW System expects to schedule a sync webinar to provide a broader context of system requirements to move forward on analytics.  UW Oshkosh plans to go-live with the student app.

November 2019: UW-Parkside and UW-River Falls plan to go live with the staff platform.

Nov. 4-6, 2019: UW System institutions will be represented and will meet at the EAB CONNECTED19 conference.

Nov. 6-8, 2019: UW-Stout and UW System will co-present a session on Navigate implementation at the Wisconsin Association of Collegiate Registrars and Admissions Officers annual conference in Lake Geneva.

January 2020: Remaining launches of the staff platform and student app are expected.

Spring 2020: UW System is planning a spring convening for Navigate leadership from the institutions, as well as regional professional development.
