{"id":2376,"date":"2026-05-05T21:49:57","date_gmt":"2026-05-05T21:49:57","guid":{"rendered":"https:\/\/www.wisconsin.edu\/workday\/?page_id=2376"},"modified":"2026-05-06T15:46:19","modified_gmt":"2026-05-06T15:46:19","slug":"pre-workday-legacy-data-documents","status":"publish","type":"page","link":"https:\/\/www.wisconsin.edu\/workday\/pre-workday-legacy-data-documents\/","title":{"rendered":"Pre-Workday\u00a0(Legacy)\u00a0Data &amp; Documents"},"content":{"rendered":"\n<p>As of&nbsp;<strong>July 1, 2025<\/strong>, Workday is the system of record for all HR and financial data&nbsp;for the Universities of Wisconsin.&nbsp;This&nbsp;webpage&nbsp;serves as a resource for information&nbsp;on&nbsp;legacy, or&nbsp;Pre-Workday,&nbsp;records as we transition away from&nbsp;our old&nbsp;systems like HRS and SFS.&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>In Workday:<\/strong>&nbsp;All administrative data from July 1, 2025, forward, plus three years of financial&nbsp;data at the&nbsp;summary&nbsp;level&nbsp;(FY23\u2013FY25).&nbsp;&nbsp;In addition,&nbsp;summarized financial&nbsp;data for sponsored programs&nbsp;(inception&nbsp;to July 1, 2025)&nbsp;is available in Workday.&nbsp;<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Legacy Data&nbsp;and Documents:<\/strong>&nbsp;Pre-Workday data&nbsp;and documents&nbsp;are moving&nbsp;to secure, long-term environments for continued accessibility.&nbsp;<\/li>\n<\/ul>\n\n\n\n<p>Legacy&nbsp;systems, including&nbsp;the&nbsp;Human Resources System (HRS)&nbsp;and its data warehouse EPM,&nbsp;the Shared Financial System&nbsp;(SFS),&nbsp;Shared Financial Management Reporting Tables (SFMRT),&nbsp;WISER, and WISPER&nbsp;are&nbsp;in the process of being&nbsp;decommissioned.&nbsp;<strong>HRS,&nbsp;SFS,&nbsp;and WISPER&nbsp;will&nbsp;shut down June 30, 2026. WISER&nbsp;and SFMRT will&nbsp;shut down September 30, 2026.<\/strong>&nbsp;&nbsp;&nbsp;<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Finding &amp; Accessing Pre-Workday&nbsp;Data &amp; Documents<\/strong>&nbsp;<\/h3>\n\n\n\n<p>While Workday is the primary system for current HR&nbsp;and&nbsp;finance&nbsp;data,&nbsp;legacy (pre-Workday)&nbsp;data and documents are being migrated:&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Pre-Workday Reporting&nbsp;Data:&nbsp;<\/strong>Enterprise Analytics Platform<strong>&nbsp;<\/strong>(EAP)&nbsp;is a data lake used across the Universities of Wisconsin.&nbsp;EAP will store legacy data and make it possible to combine legacy data with Workday data for longitudinal reporting needs.&nbsp;&nbsp;Data housed in EAP can be&nbsp;accessed&nbsp;through a variety of data tools. Review the table&nbsp;later in this section&nbsp;to&nbsp;determine&nbsp;which&nbsp;tool&nbsp;might be best for you.&nbsp;&nbsp;<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Pre-Workday&nbsp;Documents:&nbsp;<\/strong>As of April 7, 2026, most legacy HR and financial documents&nbsp;can be accessed&nbsp;in&nbsp;<strong>DocFinity<\/strong>, the Universities&#8217; new enterprise-level document management system. This provides a secure, cloud-based home for personnel files, financial records, and other critical historical documentation.&nbsp;&nbsp;<\/li>\n<\/ul>\n\n\n\n<p>Teams are currently working to&nbsp;develop crosswalks&nbsp;from our legacy systems to EAP and related data tools to help you find&nbsp;the&nbsp;legacy data&nbsp;you need to do your job.
