To purge a D2L course is to permanently delete it. This includes all files and student records.<\/p>\n<p><em>This site uses the term &#8220;course cleanup,&#8221; or simply &#8220;cleanup&#8221; for the purging process.<\/em><\/p>\n<p>        <\/div>\n    <\/div>\n<\/div> <div class=\"panel panel-default \" id=\"panel_how-do-i-know-if-i-have-courses-scheduled-for-deletion\">\n    <div class=\"panel-heading\" id=\"heading_how-do-i-know-if-i-have-courses-scheduled-for-deletion\">\n        <h4 class=\"panel-title\"><button href=\"#how-do-i-know-if-i-have-courses-scheduled-for-deletion\" data-toggle=\"collapse\" class=\"collapsed panel-link\" aria-expanded=\"false\" aria-controls=\"how-do-i-know-if-i-have-courses-scheduled-for-deletion\">How do I know if I have courses scheduled for deletion?<\/button><\/h4>    <\/div>\n    <div id=\"how-do-i-know-if-i-have-courses-scheduled-for-deletion\" class=\"panel-collapse collapse\"  role=\"tabpanel\" aria-labelledby=\"heading_how-do-i-know-if-i-have-courses-scheduled-for-deletion\" role=\"region\">\n        <div class=\"panel-body copy\">            \n            <\/p>\n<p>The Learn@UW\/D2L site administrator and\/or learning technology support team at each campus will relay information in regards to which semesters of courses are scheduled to be purged. Instructors can view their courses in the <em>My Courses<\/em> widget of D2L Home. Courses are identified by semester and year (it might be necessary to click on the Plus icon to the left of a semester to expand and display the list of courses in that semester). All courses listed on a semester slated for deletion will be deleted if no action is taken. Instructors should contact their site administrator or learning technology support team if they have any questions on what is going to be deleted.<\/p>\n<p>        <\/div>\n    <\/div>\n<\/div> <div class=\"panel panel-default \" id=\"panel_why-are-we-limiting-the-course-cleanup-process-to-older-d2l-courses\">\n    <div class=\"panel-heading\" id=\"heading_why-are-we-limiting-the-course-cleanup-process-to-older-d2l-courses\">\n        <h4 class=\"panel-title\"><button href=\"#why-are-we-limiting-the-course-cleanup-process-to-older-d2l-courses\" data-toggle=\"collapse\" class=\"collapsed panel-link\" aria-expanded=\"false\" aria-controls=\"why-are-we-limiting-the-course-cleanup-process-to-older-d2l-courses\">Why are we limiting the course cleanup process to older D2L courses?<\/button><\/h4>    <\/div>\n    <div id=\"why-are-we-limiting-the-course-cleanup-process-to-older-d2l-courses\" class=\"panel-collapse collapse\"  role=\"tabpanel\" aria-labelledby=\"heading_why-are-we-limiting-the-course-cleanup-process-to-older-d2l-courses\" role=\"region\">\n        <div class=\"panel-body copy\">            \n            <\/p>\n<p>We do not delete relatively recent courses primarily because:<\/p>\n<ol>\n<li>Students need sufficient time to finish incomplete courses and challenge grades, and<\/li>\n<li>Instructors need sufficient time to re-offer their course.<\/li>\n<\/ol>\n<p>Retaining recent courses is consistent with the guidelines and policies of the <a href=\"https:\/\/www.wisconsin.edu\/general-counsel\/university-of-wisconsin-records-officer-council\/\">UW System Records Officers Council<\/a>.<\/p>\n<p>        <\/div>\n    <\/div>\n<\/div> <div class=\"panel panel-default \" id=\"panel_but-i-re-offer-my-course-on-a-regular-basis\">\n    <div class=\"panel-heading\" id=\"heading_but-i-re-offer-my-course-on-a-regular-basis\">\n        <h4 class=\"panel-title\"><button href=\"#but-i-re-offer-my-course-on-a-regular-basis\" data-toggle=\"collapse\" class=\"collapsed panel-link\" aria-expanded=\"false\" aria-controls=\"but-i-re-offer-my-course-on-a-regular-basis\">But I re-offer my course on a regular basis...<\/button><\/h4>    <\/div>\n    <div id=\"but-i-re-offer-my-course-on-a-regular-basis\" class=\"panel-collapse collapse\"  role=\"tabpanel\" aria-labelledby=\"heading_but-i-re-offer-my-course-on-a-regular-basis\" role=\"region\">\n        <div class=\"panel-body copy\">            \n            <\/p>\n<p>In most cases, when a course is re-offered by the same instructor, the instructor copies some or all of the contents, files, gradebook and discussion structure from a previous offering into the new offering. Once that copy process is complete, the earlier version of the course offering can be deleted without affecting the new course offering.<\/p>\n<p>If a course does not repeat for several years, steps must be taken to ensure the original course offering is not deleted. Instructors in this situation should discuss this with their campus Learn@UW\/D2L support team.<\/p>\n<p>        <\/div>\n    <\/div>\n<\/div> <div class=\"panel panel-default \" id=\"panel_i-need-to-retain-my-gradebook-so-i-can-review-student-performance-years-after-the-course-ends\">\n    <div class=\"panel-heading\" id=\"heading_i-need-to-retain-my-gradebook-so-i-can-review-student-performance-years-after-the-course-ends\">\n        <h4 class=\"panel-title\"><button href=\"#i-need-to-retain-my-gradebook-so-i-can-review-student-performance-years-after-the-course-ends\" data-toggle=\"collapse\" class=\"collapsed panel-link\" aria-expanded=\"false\" aria-controls=\"i-need-to-retain-my-gradebook-so-i-can-review-student-performance-years-after-the-course-ends\">I need to retain my gradebook so I can review student performance years after the course ends.<\/button><\/h4>    <\/div>\n    <div id=\"i-need-to-retain-my-gradebook-so-i-can-review-student-performance-years-after-the-course-ends\" class=\"panel-collapse collapse\"  role=\"tabpanel\" aria-labelledby=\"heading_i-need-to-retain-my-gradebook-so-i-can-review-student-performance-years-after-the-course-ends\" role=\"region\">\n        <div class=\"panel-body copy\">            \n            <\/p>\n<p>The D2L gradebook can be exported to a CSV file that can be opened with Excel and other applications.<\/p>\n<ul>\n<li><a title=\"How to Export Gradebook Data to a CSV File\" href=\"https:\/\/www.wisconsin.edu\/learning-tech\/resources\/d2l-cleanup\/how-to\/export-gradebook-to-csv\/\">How do I export my D2L gradebook?<\/a><\/li>\n<\/ul>\n<p>When downloading or saving gradebooks or student submissions, it is important to maintain the privacy of those student records. They should be saved on campus-housed, password protected network storage rather than on local hard drives.<\/p>\n<p><em>Questions about how long gradebooks and student records may be retained should be forwarded to your <a href=\"https:\/\/www.wisconsin.edu\/general-counsel\/university-of-wisconsin-records-officer-council\/\">campus Records Officer<\/a>.<\/em><\/p>\n<p>        <\/div>\n    <\/div>\n<\/div> <div class=\"panel panel-default \" id=\"panel_what-about-my-content-files-quizzes-etc-in-my-old-courses\">\n    <div class=\"panel-heading\" id=\"heading_what-about-my-content-files-quizzes-etc-in-my-old-courses\">\n        <h4 class=\"panel-title\"><button href=\"#what-about-my-content-files-quizzes-etc-in-my-old-courses\" data-toggle=\"collapse\" class=\"collapsed panel-link\" aria-expanded=\"false\" aria-controls=\"what-about-my-content-files-quizzes-etc-in-my-old-courses\">What about my content files, quizzes, etc. in my old courses?<\/button><\/h4>    <\/div>\n    <div id=\"what-about-my-content-files-quizzes-etc-in-my-old-courses\" class=\"panel-collapse collapse\"  role=\"tabpanel\" aria-labelledby=\"heading_what-about-my-content-files-quizzes-etc-in-my-old-courses\" role=\"region\">\n        <div class=\"panel-body copy\">            \n            <\/p>\n<p>Content, course files and quizzes can be copied into a newer offering of the same course. This is very common, especially when the same instructor teaches both offerings.<\/p>\n<p>Also, course files can be easily downloaded. The volume of data housed in the system, and the associated storage costs, has steadily increased since the deployment of D2L in 2003. The quantity of data not only impacts storage costs, but also the cost of data backups, system upgrades, and support resources.
