You should have completed the initial setup in your SIS prior to running the offline report for academic review. Based on your SIS, complete the following steps to generate the file for academic review (for internal review)

Steps of the Technical Review

Generate the two required files (.csv and .pdf transcript bundle) in your SIS according to the vendor instructions, or manually using our template file and instructions and save a local copy for review.

Review the .csv spreadsheet file for the required data components

Review the transcript file for required elements

Verify that both files follow the correct naming convention

Hand off the files to the appropriate person to conduct the Academic Review

Spreadsheet Review

Ensure the data to be sent to the Universities of Wisconsin is accurate. This includes:

Ensure that only students who have opted to participate are included on the file. Non-participating students should be excluded.

Verify that reported GPA is on a cumulative 4.0 unweighted scale.

Ensure that the student’s local student ID and WiseID are both populated in the appropriate columns.

Verify that your DPI District Code and DPI School Code appear correctly on the spreadsheet.

The DPI codes can be looked up at the DPI Directory, find your school’s District-School Local Education Agency (LEA) Code. The code will be represented a in the format ####-####, where the first four digits are your school’s district code, and the last four digits are your school’s school code.

Private schools will have a district code that corresponds to the public school district catchment area that they exist within.

If these codes are not accurate or are not present, reach out to your SIS to request assistance.

Confirm that the students’ graduation year in the report matches the expected cohort being reported.

Students should only have a tier if they meet Direct Admit Wisconsin eligibility requirements. Tiers should appear as an alphanumeric entry from T1 to T6. Students who opted to participate but do not meet the eligibility requirements should be represented in the spreadsheet with an empty cell in their Tier column.

Transcript Bundle Review

The Universities of Wisconsin will need a .pdf bundle of all participating students in Direct Admit Wisconsin. The transcripts need to be machine readable, meaning they cannot be scanned into the system but must be generated from your SIS

Each student who has been submitted as a Direct Admit Wisconsin student should have a transcript submitted.

The transcripts should include the cumulative unweighted 4.0 GPA of the student at the end of the junior year.

The transcripts should contain the WiseID of the student.

The transcripts should contain the school’s local student ID.

File-naming

Ensure that the file names follow the following format:

XXXX-ZZZZ-YYYYMMDD.csv – for the data file

XXXX-ZZZZ-YYYYMMDD.pdf – for the transcript bundle

Where XXXX is the zero-padded DPI district code, ZZZZ is the zero-padded DPI school code, and the YYYYMMDD is the date of generation.

Academic Review

Once you have verified the technical components above, a counselor who is familiar with the students and their academic performance should review the report at this time to ensure it accurately reflects the students’ grades and tier assignments before submission.
